Patients Departments

Functions

The Patient Services Manager directs and organises the administrative and clerical support of the various clinical/support departments throughout the hospital in regard to administrative matters, in order to ensure the efficient delivery of services to patients attending the hospital.

Reception Department

The Reception Department is situated at the main entrance on the ground floor of the hospital.     Switchboard and patient enquires are managed from the reception desk by a highly trained and motivated staff.  The main reception area is open from 8am to 9pm each day.   From 9pm to 8am the switchboard and patient enquires operate from the Emergency Department Reception Desk.

Outpatients Appointments Office

The Outpatients Department is situated on the ground floor.  The Outpatients Reception Desk is open from 8.30am to 5pm Monday to Friday.

The Outpatients Clerical Staff have responsibility for the scheduling and booking of all appointments and registration of patients once they attend the department for the appropriate clinic. The clerical staff also deal with all written and telephone enquiries from both patients and GP’s.   The clerical team work very closely with the Consultants and Nursing Personnel in terms of organising and planning clinics.

Admissions Department

The Admissions Department is located on the ground floor.  The admission staff work closely with the Inpatient Co-Ordinator and Nursing Administration. 

The department is covered 24 hours each day.  Staff in the Admissions Department operate from the Emergency Department from 5pm to 8am Monday to Friday.  At weekends and on Bank Holidays the department is managed from the Emergency Department except on Sunday’s when the Admissions Office is open from 1pm to 6pm, to facilitate elective admissions.

All patients, including emergency admissions, elective admissions, day care patients and patients attending the Emergency Department are interviewed and registered on the computerised administration system by the admissions staff.

Medical Records Department

The Medical Records Department is situated in a stand-alone building opposite the Emergency Department.   

The medical records staff are responsible for filing and retrieving all medical records and work closely with all Ward Receptionists.  A computerised chart tracking system is in operation in the department.

Radiology Secretarial Support

The Radiology Department is situated on the 1st floor.  The Assistant Staff Officer in the Radiology Department is responsible for the provision of secretarial support to the Department. 

The Radiology Clerical Staff, in conjunction with the Radiologists and Radiographers have responsibility for the scheduling and booking of all appointments.  They are also responsible for registering all patients attending the department. They deal with written and telephone enquiries from both patients and GP’s.   The clerical team work very closely with the Consultant Radiologists and Radiographers.

Pathology Secretarial Support

The Pathology Department is situated on the 2nd Floor.   The Assistant Staff Officer in the Pathology Department is responsible for the provision of secretarial support to the Pathologist and the Pathology Department Staff. 

The Pathology Clerical Staff have responsibility for inputting all laboratory requests on the computerised Winpath System and Patient Administration System.  They are also responsible for the distribution of results to the various departments within the hospital and to the General Practitioner network. 

Medical Secretarial Department

The Medical Secretarial Department is situated in the Medical Records Department opposite the Emergency Department.  Five Medical Secretaries operate from the Department.   In addition nine Medical Secretaries are situated in offices attached to Consultants Rooms.  The medical secretarial staff are supported by four locum secretaries.  All staff in the department report directly to the Patient Services Manager.

Medical Secretaries are responsible for typing medical reports, arranging outpatient appointments on the computerised patient administration system and dealing with general practitioner’s and patient’s queries.
